Navigate houses students’ PeopleSoft and Canvas data, plus information loaded by users. This data is refreshed nightly, but will take up to 48 hours to appear in Navigate. At the top of the student profile, the Overview page shows some quick information about the student, their major history, uNID, classification, and most recent enrollment. Categories represent different fields or attributes from PeopleSoft, such as academic standing, first generation status, and positive and negative student indicators.

There are several ways to document interactions with students in Navigate.

  • If the appointment was booked in Navigate, learn how to submit an Appointment Summary Report.
  • If the appointment was booked outside of Navigate, learn how to Report on an Appointment.
  • If you need to document an interaction outside an appointment (i.e., drop-in session, hallways interaction, email), learn how to Add a Note.

Referrals allow staff to send individual or bulk referrals to a campus resource or office. On the student profile under Options, click Issue Alert or Referral. Select a reason and add relevant context for the receiving office. In some cases, these referrals will be assigned to an individual and the case will be tracked. A summary of action steps associated with the referral are listed at the bottom of the window when the referral is made.

As a supervisor in your unit, there will be tasks that need to be accomplished on behalf of the unit. Several features are available for the Director of Advising role, such as reporting and requesting access for users.

To request access to Navigate for new staff or staff with new responsibilities, submit a role access request. After credentials are confirmed, it will be reviewed by the position’s supervisor and the Navigate Advisory Committee.

All text communication in Navigate must adhere to the University of Utah’s Mass Text Messaging Guidelines to ensure compliance with the Telephone Consumer Protection Act.

Office Hours

For additional support following training, the Navigate team offers office hours to troubleshoot issues, assist with setting up availability, walk through different features, and answer any Navigate questions.

Try logging in with your uNID (without the @utah.edu) and password. If this still doesn’t work, email navigateinfo@utah.edu and include your full name, uNID, and a screenshot of your error screen.

Students appear in Navigate when they submit their enrollment deposit through the last term of enrollment. If they have a Leave of Absence indicator, they remain active.

Within the student-facing mobile app, there is a to-do that can be enabled that asks students these questions. The University of Utah does not currently have this feature enabled, so no data is being piped to that section.

No, advisors will still need to lift the hold in PeopleSoft.

Although it is labeled under Enrollment, which is a misnomer, the FERPA pin is under Enrollment Status at the very bottom of the student profile and the individual(s) who have a waiver are under Enrollment Goal.

Yes, the name that appears in Navigate is their preferred name. The student can update their preferred name in CIS and can update their pronouns in the mobile app.

Currently prospective students do not have access to Navigate, so scheduling for those appointments will need to occur in a different system.

Email navigateinfo@utah.edu to add a location to your unit’s appointment configurations. Once it’s loaded, users in your unit will be able to list that new location when they load availability.

No, it is only a student-facing platform.
