Navigate Appointments Dashboard
Access, Quality, and Student Experience
The Navigate Appointments Dashboard shows how undergraduate students use academic advising across the University of Utah’s colleges. Additional measures—including advising capacity, advisor retention, and student feedback—are being developed to provide a more complete view of advising access, quality, and the student experience at the U.
This self-service Tableau dashboard was created by University Analytics and Institutional Reporting (UAIR) in collaboration with Undergraduate Studies. It is updated daily and surfaces aggregate appointment data from Navigate. It allows authorized users to explore advising activity and trends across the university.
Dashboard access and FERPA certification are required. To request access, email navigateinfo@utah.edu.
How to Use the Dashboard
Use one or more of the filters to refine the dashboard results. Filters are divided into two groups:
- Appointment filters identify which appointments are included.
- Student filters identify appointments based on the characteristics of the students who participated.

Appointment Filters
| Filter | What it does |

| Appointment Date | Select a date range from July 1, 2024, through the present. |
| Appointment Term | Select one or more academic terms. Use this filter instead of Appointment Date to view results by semester. |
| Appointment Cancellation Reason | Filter appointments by the reason selected when the student or advisor cancelled the appointment. |
| Appointment Cancelled By | Filter by the individual who cancelled the appointment. |
| Appointment Type | Choose between drop-in and scheduled appointments. |

Filter appointments by attendance status.

| Appointment Summary Report | Identify appointments with a saved summary report (Filed) or without one (Not Filed). |
| Appointment Staff Organizer | Filter appointments by the advisor or staff member assigned to the appointment. |
| Appointment Meeting Type (Scheduled) | Shows the meeting format selected when the appointment was scheduled. |
| Appointment Meeting Type (Summary Report) | Shows the meeting format recorded when the appointment summary report was filed. |
| Appointment Care Unit | Filter by the organizational unit in Navigate, including the Advising Care Unit. |
| Appointment Location | Filter by the location associated with the appointment. The list includes physical locations for non-advising units and college names for advising units. To view academic advising appointments for a specific college, select that college in the Appointment Location filter. |
| Appointment Service | Filter by the appointment name. This list includes all appointment names (aka services) offered in Navigate. |
Student Filters
| Filter | What it does |

| Student Category | Filter by categories such as academic standing, PeopleSoft student group, or positive or negative student indicator. |
| Student Degree Level | Filter by the student’s degree level. |
| Student Academic Level | Filter by the student’s academic classification, based on the UAIR definition of academic level. |
| Student Major College | Filter by the school or college associated with the student’s major. |
| Student Major Department | Filter by the academic department associated with the student’s major. |
| Student Major | Filter by the student’s academic major. |
| Student First-Generation Status | Filter by the student’s self-reported first-generation status. |
Important Considerations
Isolating Academic Advising Appointments
Student filters alone do not limit the results to academic advising. If you use only student filters, the dashboard will include all applicable Navigate appointments, including appointments with non-advising units.
To view academic advising appointments for a particular college, select the college in the Appointment Location filter.
Graduate Student Appointments
Undergraduate students are the primary student population active in Navigate and can schedule their own advising appointments. However, units that also support graduate students—such as Career Coaching—may enter appointment records for graduate students. As a result, graduate-level records may appear unless the appropriate student filters are applied.
Interpreting the Results
Before sharing or comparing dashboard results:
- Review all active filters.
- Confirm the population and time period included.
- Use dashboard results to see general advising numbers and to track trends, rather than drilling down to individual student/advisor data. This dashboard does not include advising work not saved in Navigate, such as appointments with prospective students, appointment prep time, and interactions outside scheduled or drop-in appointments.
